This Policy explains what information The Home Steward LLC collects, how we use it, who we share it with, and the choices you have.

The Home Steward LLC is the controller of the personal information described in this Policy.
2. INFORMATION WE COLLECT
2.1 Information You Provide
Your name, home address, telephone number, and email address
Details about your property, its systems, and the services you request
The contents of your honey-do list and any notes or instructions you send us
Details of vendors and contractors you already use, where you ask us to coordinate them
Correspondence between us, including messages sent through the Portal
2.2 Information We Create About Your Property
In the course of providing services we create records about your property, including:
Photographs of the interior and exterior, taken during the pre-service walkthrough and at each Visit
A home record listing systems, appliances, model numbers, and installation dates
Inspection findings, service history, and completed work
Notes made by your Technician
2.3 Access Credentials
Where you provide them, we hold keys, access devices, alarm codes, and entry codes for your property. Section 4 explains how these are handled.
2.4 Payment Information
Payments are processed by third-party payment processors that are PCI DSS compliant. We do not collect or store full payment card numbers.
2.5 Website Information
When you visit homestewardnj.com, our website platform and analytics providers may automatically collect your IP address, browser and device type, pages viewed, and referring website, using cookies and similar technologies. You can control cookies through your browser settings.
3. HOW WE USE YOUR INFORMATION
We use the information we collect to:
Schedule and confirm appointments
Deliver and document services at your property
Coordinate vendors and contractors at your direction
Send invoices and process payments
Respond to your questions and support requests
Maintain accurate records of your property and service history
Meet our legal, tax, insurance, and regulatory obligations
We do not use your information for any purpose unrelated to the services you have engaged us to provide.
We do not sell your personal information. We do not use it for targeted advertising, and we do not use it for automated profiling that produces legal or similarly significant effects.
4. PHOTOGRAPHS, KEYS AND ACCESS CREDENTIALS
Because of the nature of our work, we hold two categories of information that require particular care.
4.1 Photographs and Video of Your Property
We photograph your property before services commence and at each Visit, and we may record before-and-after video of completed work. These form the documented record of your property's condition and of the work we have carried out.
For your records. All photographs and video are uploaded to your Portal and are visible to you and to authorised personnel at The Home Steward. This use requires no separate permission — it is how the service works.
For marketing. We would like to show our work. We will only publish images or video of your property — on our website, social media, or anywhere else — if you have given us separate written consent. That consent:
Is requested separately from your service agreement, and is never a condition of service or of price
Never accompanies your name, your street address, or any document showing either
Does not extend to images identifying the exterior of your home unless you specifically agree to that
Entitles you to see the material before it is published, if you ask
May be withdrawn at any time, in writing, without giving a reason
On withdrawal we will remove the material from every channel we control within fourteen (14) days. Material that has already been reshared or downloaded by others may not be recoverable, and we cannot promise otherwise.
4.2 Keys, Alarm Codes and Entry Codes
Keys, access devices, alarm codes, and entry codes are held securely and their use is restricted to Technicians performing services at your property.
We do not issue, share, or disclose any key, access device, alarm code, or entry code to any vendor, contractor, or other third party, and we do not create temporary or time-limited access credentials for third parties.
On termination of your service agreement, keys and access devices are returned or destroyed at your direction, and stored codes are deleted, within fourteen (14) days.
5. HOW WE SHARE YOUR INFORMATION
5.1 We Do Not Sell Your Information
We do not sell your personal information. We do not share your information, or your SMS consent data, with any third party for that party's own marketing purposes.
5.2 Vendors and Contractors
Maintenance vendors. Where you ask us to coordinate a vendor as part of a Steward Maintenance subscription, we provide that vendor with the information needed to attend and carry out the work — typically your name, property address, telephone number, and a description of the work. These vendors contract directly with you and are responsible for their own handling of your information.
Project subcontractors. For Steward Projects, we engage subcontractors, or work alongside contractors you already use, to quote and carry out the work. We share the same contact details, together with any photographs, measurements, or extracts from your home record needed to prepare an accurate quote or complete the job. We share only what the work requires.
In both cases, contractors are not permitted to use your information for any purpose other than the work you have engaged them for.
5.3 Service Providers
We use third-party providers to operate our business, including business management and scheduling software, the client Portal, payment processing, email and text messaging, and website hosting and analytics. These providers may process your information only as necessary to provide their service to us, and are not permitted to use it for any other purpose.
5.4 Legal Disclosure
We may disclose information where required by law, legal process, or a governmental request, or where we reasonably believe disclosure is necessary to protect the rights, property, or safety of The Home Steward, our clients, or others.
5.5 Business Transfers
If The Home Steward is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
6. STORAGE, SECURITY AND RETENTION
6.1 Storage and Access
Your information is stored in third-party business management software and is protected by role-based access controls. Only authorised personnel at The Home Steward can access your records.
6.2 Security
We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. No system is entirely secure, and we cannot guarantee absolute security.
6.3 Security Incidents
In the event of a breach affecting your personal information, we will notify you and any relevant authority as required by applicable law, without unreasonable delay.
6.4 How Long We Keep Your Information
Your home record, service history, inspection findings, and property photographs: retained for the duration of your service relationship and afterwards, without a fixed end date. The value of a maintenance record is its continuity — a documented history of how a home has been cared for is worth most years later, and particularly when the property is sold. You may request deletion at any time under Section 8, and we will act on it.
Photographs or video you have consented to us using for marketing: until you withdraw that consent, as set out in Section 4.1.
Keys, access devices, and stored codes: returned, destroyed, or deleted within fourteen (14) days of termination, as set out in Section 4.2.
Enquiries that do not become a service relationship: twenty-four (24) months.
Payment records: as required by applicable tax and accounting law.
Where you sell your property, we can transfer your home record and photographs to the incoming owner, but only on your written instruction. We will not do so otherwise.
We delete or anonymise information once these periods expire, unless we are required to retain it or you have asked us to keep it.
7. TEXT MESSAGES
If you have provided your telephone number, you may receive text messages relating to your service relationship with us, including appointment confirmations, scheduling changes, visit documentation, invoices, storm and emergency notifications, and replies to your messages.
We do not send promotional or marketing texts.
To stop receiving messages, reply STOP to any message. You will receive one confirmation and no further messages. To re-subscribe, reply START. For help, reply HELP.
Message frequency varies with your service activity. Message and data rates may apply. Full details are set out in our SMS Terms, published at homestewardnj.com.
8. YOUR RIGHTS
8.1 Your Rights
You have the right to:
Confirm whether we hold personal information about you, and obtain a copy of it
Obtain that copy in a portable, readily usable format where technically feasible
Correct inaccuracies in the information we hold
Request deletion of your information, subject to our legal, tax, insurance, and contractual obligations
Withdraw consent to text messaging at any time
Ask us not to sell your information or use it for targeted advertising — we do not do either
Exercising these rights will not result in any reduction in the quality or cost of the services we provide to you.
8.2 How to Exercise Them
Contact us at hello@homestewardnj.com or at the address above. We may ask you to verify your identity before acting on a request, to protect your information.
8.3 Our Response
We will respond within forty-five (45) days. Where a request is complex, we may extend that period once by a further forty-five (45) days, and will tell you if we do.
8.4 Appeals
If we decline your request, we will tell you why. You may appeal by replying to that response or writing to us at hello@homestewardnj.com. We will respond to an appeal within forty-five (45) days and, if we again decline, will provide you with a means of contacting the New Jersey Division of Consumer Affairs.
9. GENERAL PROVISIONS
9.1 Children's Privacy
Our services are directed to homeowners and are not intended for children. We do not knowingly collect personal information from anyone under sixteen (16). If you believe we have done so, contact us and we will delete it.
9.2 Changes to This Policy
We may update this Policy from time to time. The effective date at the top of this page reflects when it was last revised. Where changes are material, we will notify active clients directly.
